We are looking for a dedicated Sales Secretary to support our sales manager and ensure the
efficient operation of our daily activities. This role is crucial in managing administrative tasks,
enhancing client relations, and facilitating communication both internally and externally.
Salary: $48,000 annum.
Performance bonus: 1% bonus of the total revenue generated by the Sales Manager they are
assigned to support.
Job Type: Full-time, Permanent, 35 hours per week.
Qualifications:
• College diploma in business administration or sales, or a related field
• Minimum of two years of related experience in sales support or administrative roles
• Strong organizational and communication skills
• Proficiency in Microsoft Office and other relevant software
• Knowledge of culinary products or foodservice supplies is an advantage.
• Previous experience in a foodservice or sales environment preferred
• Knowledge of Thai, Vietnamese, or Chinese languages is an asset
• Ability to work efficiently in a fast-paced office setting

Job Description
• Sales Support: Assist the sales manager with order processing, tracking shipments, and
managing client accounts. Prepare, edit, and proofread sales documents such as product
catalogs and order forms.
• Client Relations: Serve as a liaison between clients and the sales manager, handling
inquiries about product availability, order status, and delivery schedules. Address and
resolve client issues to ensure satisfaction.
• Communication Coordination: Manage incoming and outgoing communications
related to sales and food distribution. Draft and distribute internal updates and memos on
product changes, promotions, and sales performance.
• Meeting and Appointment Management: Schedule and confirm meetings with clients,
vendors, and sales manager. Organize and prepare materials for sales meetings, including
product samples and pricing information.
• Office Supply and Inventory Management: Order and manage office supplies and
assist with inventory management tasks, including tracking stock levels of promotional
materials.
• Phone and Email Handling: Route phone calls and emails related to sales inquiries and
customer support. Provide timely and professional responses to ensure smooth
operations.
• Filing and Record-Keeping: Maintain organized filing systems for sales documents,
client records, and order histories. Record minutes of sales meetings and document sales
activities and client interactions.
• Travel and Event Coordination: Arrange travel and accommodation for sales manager
attending industry events and client meetings. Coordinate logistics for promotional events
and product demonstrations.
• Data Compilation and Reporting: Compile and analyze sales data, generating reports
on sales performance and market trends. Assist with research on new products and market
opportunities.
