We are looking for operational level team members to join our team in Brampton. Apply to this role if you have previous administrative experience or have relevant experience in an administrative assistant / secretary role.  We are currently seeking an Administrative Assistant who can promote a respectful team environment and manage team members with open communication and understanding. We are looking for an administrative assistant to assist and support a diverse team to achieve and maintain Alpha Trans’s high standards of operation. The high standards for operational excellence allow to easily plan and execute methods of improving operations and achieving targeted costs.

 

What you'll be doing:

 

  • Manage all incoming mail related to export order.
  • Report escalated emails to management.
  • Oversee and coordinate administrative procedures specific to full cycle reservations using in house reservation system.
  • Create and provide dispatch department schedule of export and import orders to be conducted on following business day.
  • Coordinate the release, pick up and delivery of containers with port authorities.
  • Assist in development and implementation of safe operational procedures which identify and consider all relevant hazards.
  • Print and assemble detailed records of all shipments and containers using Excel.
  • Create reservation using on-line reservation system for up to three days in advance.
  • Monitor pending reservations in on-line reservation system.
  • Create reports using Excel and correspondence as required by management.
  • Establish work priorities related to export orders and pending reservations, and ensure deadlines are met and procedures are followed.
  • Make outgoing calls to local clients to coordinate shipments.
  • Ongoing customer service.
  • Provide management with up to date client issues that may arise with orders.

 

What we're looking for:

 

  • Post-Secondary college diploma in administrative assistant / business or related discipline;
  • Minimum one to two years of experience in administrative assistant in any discipline is required;
  • Must have effective oral and written communication skills in English;
  • Must be physically able to perform all delegated duties; and
  • Punctuation and Dependability is a must.

 

Compensation: $22 per hour as per experience

 

Job Types: Full-time, Permanent

 

Hours of Work: Full Time. Shifts including weekends and holidays.
