Meritus Education Inc./ Olympiads School (https://olympiads.ca) is a Toronto-based, mid-size tutoring center operating with over 10 years of history and employing more than 100 staff. We provide extracurricular classes such as Math, English, French, Public Speaking, Debate and some competition training classes etc. to a wide range of students to supplement their daily studies at their schools. We are currently hiring an Office Administrator to join our team. This position involves supervising and coordinating all office administrative procedures.

 

Responsibilities

1. Lead, supervise, and support administrative staff and volunteers on a daily basis to ensure compliance with school policies; direct and evaluate office staff with regard to meeting deadlines, and better ways to improve services and function efficiently

2. Supervise staff in liaising with students, parents, and schools; liaise directly with stakeholders regarding daily school operations, workshops, seminars, projects and events, when necessary

3. Foster positive relationships with prospective students, their parents, and educational institutes through effective and timely communication

4. Arrange orientation programs, information sessions, educational workshops and student-related events for prospective students, parents, and agents, in order to o foster student success, recruitment and retention

5. Oversee the management of physical and electronic records for student records, report card processing, class scheduling, and school applications

6. Assist in maintaining school supplies and equipments, invoices, financial records and expense reports

7. Recommend procedural changes to improve the effective functioning of the unit and to ensure a smooth functioning administrative team

8. Design and deliver training programs for new employees at staff meetings

 

Qualifications and Skills:

 

1. A university degree or college diploma in business, marketing, public administration, or related field

2. Minimum two years of experience in an office administration/execution position

3. Prior experience in the filed of education counselling is required, including experience with communication, event planning, as well as school program administration

4. Deep understanding/knowledge of Canadian educational system, especially Ontario secondary and post-secondary system, is required; prior experience with school application procedures is a strong asset

5. Strong oral and written communication skills as well as interpersonal skills are required in day-to-day interactions with team members, students, school community, external industries and the general public

6. Good judgment, self-motivation, discretion, tact and the ability to maintain confidentiality are imperative

7. Solid computer skills. Microsoft Excel proficiency is a must; experience with Photoshop or video editing is a plus

8. Must be able to work on shifts (evening and weekend schedules)
